Work a shift in the field

What a coworker does on the phone from accepting a shift to completing it.

The Rytmia app on your phone shows the work assigned to you: today’s shifts, where they are, what needs doing, and what to do when something is wrong.

A shift moves through four steps — respond, check in, work the checklist, complete.

Respond to the shift

When the office books you on a shift it appears in your list, and you answer it: I’ll be there or Can’t make it.

If you decline, you give a reason — sick, already booked, can’t get there — and can add a note for the scheduler. Your place reopens straight away so it can be filled by someone else. That is the point of answering early: a shift you decline on Monday is easier to cover than one nobody staffs on Friday.

Before you go

Open the shift to see the start time, the service location and the work instructions for the services on it.

The site’s access details live here — the entrance, the door code, who to call. If something you need is missing, ask the office before you set off rather than from the doorstep.

Check in

Check in when you arrive. Check-in opens shortly before the shift starts; until then the button shows when it opens.

Checking in records the time and your position at that moment. This is a record of attendance at the start and end of the visit — not tracking through the day. If location is switched off or there is no signal, you can still check in; the record simply notes that the position could not be read.

Once you are checked in, the shift shows as In progress and the checklist unlocks. Before that it says check in on the shift to fill out the checklist — the checklist is a record of work done, so it waits until you are actually there.

Work the checklist

The checklist is assembled for this visit from the service, the client and the site. Items may be marked as required.

Answer each item as you go. The header tracks how many required items are left, and tells you when all required items are answered.

If an item cannot be completed, mark it down and describe why. That creates a deviation for the office to review — you do not have to report it separately.

Report anything else that is wrong

Anything the office needs to know that is not a checklist item goes in as a deviation: a locked door, a damaged floor, something unsafe.

Choose Report deviation, describe what is wrong, and attach photos if they help. Photos are optional but they answer most follow-up questions before they get asked.

You do not classify the deviation. Describe what you saw; the office decides the category, the severity and what happens about the invoice.

Check out and complete

Check out when the work is finished. As with check-in, the time and position are recorded.

Then Complete assignment. Rytmia asks you to confirm you have checked out and answered the required checklist items — if required items are outstanding it says so rather than letting the shift close incomplete.

Completing hands the shift to the office for review.

After the shift

You can open your own past shifts and see what happened to them.

Your time record shows the planned times, the times you registered, and — once the office has looked at it — their decision: approved, corrected or rejected, with any note they left. If they corrected your times, you see both what you registered and what it was changed to.

The same goes for deviations you reported: you can see the office’s decision and any note, and you get a notification when it is reviewed. Until then it says nobody has reviewed it yet.
