Getting started

Give clients access to the portal

How to invite a contact to the client portal, how Rytmia checks that the right person logs in with BankID, and how to remove access.

In the client portal, the client reads quotes, signs them and sees their visits. A contact doesn’t get access to the portal just by existing in your records. You invite them, and the person logs in with BankID. Rytmia only lets the person in if their BankID matches the contact you invited.

Portal access is managed on the web, on the client’s Contacts tab.

Before you invite

The contact needs:

  • a surname, because the name is compared with the name in BankID
  • a phone number or an email to send the invitation to.

If something is missing, Rytmia shows This contact can’t be invited yet and what needs adding. Choose Edit contact and fill it in.

Invite

  1. Open the client and its Contacts tab.
  2. Choose … on the contact, then Invite to the portal.
  3. Read who will be let in, see below, and check the spelling.
  4. Under Send the invitation by, choose Text message to … or Email to ….
  5. Choose Send invitation.

The contact gets a text message or email with a link, for example:

Hi Anna! Städbolaget AB has invited you to its client portal in Rytmia. Sign in with BankID here: …

The link leads to Rytmia’s login and is valid for 14 days. The link doesn’t log anyone in by itself: whoever opens it still has to log in with BankID.

If you send a quote to a contact without access, they are invited along with the quote. See Send a quote and get it signed.

Who gets in

The invitation itself says how it is checked.

The name must match BankID. If the contact has no personnummer, the name is compared. The contact’s first name has to be among the first names in BankID, and every word of the surname has to be in the surname in BankID. Upper and lower case, accents and hyphens make no difference. So you can leave out a middle name or half of a double surname, but every word you write has to be in BankID.

The contact is called BankID says Gets in?
Anna Andersson Anna Maria Andersson Yes
Anna Andersson Anna Andersson Berg Yes
Åsa Öström Asa Ostrom Yes
Annie Andersson Anna Andersson No
Anna Andersson-Berg Anna Andersson No

So write the name as it appears on the person’s ID, not a nickname.

Matched on personnummer. If the contact has a personnummer, for example for RUT, only that is compared. The contact’s name makes no difference then.

What the client sees

  1. The client opens the link and logs in with BankID.
  2. If BankID matches, You’re invited appears. The client chooses Open the client portal of … and gets into the portal. If they are new to Rytmia, they confirm their name first.
  3. If BankID doesn’t match, This invitation was for someone else appears, asking them to contact you. Nobody gets access.

If the invitation has expired, been withdrawn or already been answered, This invitation can’t be used appears. Send a new one.

There is more about logging in in Log in with BankID.

Statuses

The Portal column on the Contacts tab shows where each contact stands:

Status Means What you can do
No access The contact isn’t invited. Invite to the portal
Invited An invitation is out. The row shows when and how it was sent, and when it expires. Resend invitation, Revoke invitation
Active The contact has access. The row shows Signed in as … (BankID) with the name from BankID. Remove access
Opened by someone else The invitation was opened by someone whose BankID didn’t match. Nobody got access. Invite again

Resend invitation sends a new link to the contact’s current number or address. The old link stops working.

When someone else opened the invitation

The Contacts tab then shows that the invitation was opened by someone else according to BankID, and you get a notification. Usually the name is spelled differently from BankID, or the link was passed on.

Check the name or personnummer with the person, correct the contact and choose Invite again.

Remove access

Choose … on the contact and Remove access. The person can no longer log in to your client portal, and open quotes sent to the contact are withdrawn. Access comes back only with a new invitation.

The contact stays in your records. If you want to remove it too, do that as usual. See Contacts at a client.
